Job Role

As the Operations Manager, you will be responsible for managing all aspects of clinic operations, ensuring smooth day-to-day functioning, maintaining high standards of patient service, and driving continuous improvement initiatives. Your role will directly contribute to creating a supportive and efficient environment for both patients and staff.

Qualifications

  • Education: Bachelor’s degree in Healthcare Administration, Business Administration, or a related field (Master’s degree preferred).
  • Experience: Minimum of 2 years of experience in IVF management or clinic operations, preferably in a fertility, IVF, or reproductive healthcare setting.
  • Leadership: Proven experience in managing and leading a multidisciplinary team, with excellent people management skills.
  • Regulatory Knowledge: Strong understanding of healthcare regulations, particularly those relevant to IVF, patient care, and medical compliance.
  • Communication: Exceptional communication and interpersonal skills, with the ability to engage with both patients and staff at all levels.
  • Problem-Solving: Strong organizational and decision-making skills with a hands-on, solution-oriented approach to challenges.
  • Financial Acumen: Experience in budgeting, financial forecasting, and managing clinic operations within budget constraints.

Key Responsibilities

  • Oversee the daily operations of the IVF clinic, ensuring smooth functioning of all services.
  • Manage clinic schedules, patient flow, and staff allocation to optimize resource use and improve patient experience.
  • Develop and implement operational policies and procedures in line with regulatory requirements, industry standards, and best practices.
  • Ensure the clinic is compliant with local healthcare regulations, licensing requirements, and ethical standards.
  • Lead, supervise, and mentor a team of clinic staff, including medical, administrative, and support personnel.
  • Ensure a compassionate and supportive environment for patients, from initial consultation to post-treatment follow-up.
  • Oversee the patient intake process, ensuring clear communication regarding treatment options, expectations, and timelines.
  • Work closely with doctors and medical staff to ensure seamless care coordination and treatment delivery.
  • Oversee billing processes and work with the finance team to ensure accurate and timely billing and insurance claims processing.
  • Identify opportunities for cost-saving, revenue generation, and operational efficiencies.
  • Ensure that the clinic operates within all healthcare regulations, including patient confidentiality, ART, and other applicable laws.
  • Manage risk, safety, and infection control protocols to maintain a safe and sterile environment.
  • Oversee the management and maintenance of clinic equipment, ensuring it is in optimal working condition.
